Why practices start here

No demo. No 6-week rollout.

Most AI phone platforms start with a sales call and an integration project. Medman's AI receptionist starts with a test call.

  • The Monday-morning rush

Every line lights up at 8:00 and again at lunch. Whoever is checking a patient in is also the person the phone is waiting for.

  • Voicemail that waits until afternoon

Messages pile up while the front desk handles the lobby, and by the time someone listens, some callers have already tried somewhere else.

  • The same five questions

Hours, directions, parking, "do you take my insurance?" — answered all day by someone who has other work waiting.

Start with what matters

Walk in to a list that's already marked Urgent, not a blinking voicemail light.

Answered calls are written up and marked Urgent, Important, Normal or Low by what the caller needs. In the morning your team filters to Urgent and Important, calls those back first, and works down the rest.

  • Each write-up says what the caller asked for and suggests a next step, with the transcript lines it came from
  • Resolve a call when it's handled

What callers ask · how it might be marked

  • Refill running out todayUrgent
  • Clearance letter before surgeryImportant
  • Reschedule next week’s visitNormal
  • Do you take my insurance?Normal

Priorities are suggestions from the write-up. Your team decides, and it is not an emergency line.

What it does today

  • Answering your callsInbound calls to your practice number, with your greeting and voice
  • Routine questionsHours, location, services and FAQs your practice has reviewed
  • MessagesCaller name, callback number and reason, in one inbox
  • Marking the callbacksUrgent, Important, Normal or Low, with next steps, when a write-up is available
  • Booking, with your EHR connectedPatients book, reschedule and cancel right on the call
  • Learning what it couldn’t answerUnanswered questions are listed; add the answer once and it can use it next time
  • Call transfersWhen a caller asks for a person, it asks first, then rings the number you choose during your transfer hours; otherwise it takes a message

Your team handles

  • Scheduling without a connected EHRIt takes the request; your team books the appointment
  • Clinical questionsIt does not give medical advice or make clinical decisions
  • EmergenciesIt is not an emergency line; it points callers with an emergency to emergency care

Before it takes real patient calls, you'll complete practice setup inside the app.

Medical-practice setup and agreements are required before patient calls. Use fictional details for testing.

How setup works

Set it up and test it before it answers a patient.

  1. 01

Find your practice and check the details

Enter your practice name or website. It looks up your public listing; you fix anything that looks wrong. Only details you have reviewed are used on calls.

  2. 02

Pick a voice and a greeting

Four voice styles, two voices each — warm, professional, upbeat or calm. Listen during setup, then keep the suggested greeting or write your own.

  3. 03

Get a local number and make a test call

Choose a local US number, call it, and leave a message with fictional details to see what lands in your inbox.

  4. 04

Forward your calls when you’re ready

Nothing changes on your existing number until you choose to forward it. No porting required.

Part of Medman

One of the agents that carry a patient from first call to a clean claim.

When a caller's coverage needs checking, the receptionist hands it to Medman's eligibility agent; faxes and refill requests go to inbox triage. Your staff see one queue, and approve every final step.

Questions

Questions practice managers ask first.

Do callers know they are talking to an AI?

The suggested greeting tells callers they have reached an AI receptionist. You can edit the greeting — we recommend keeping that line.

How long does setup take?

Minutes: find your practice, check the details, pick a voice, get a number and make a test call. No IT project to start. Forward your calls when you’re ready, and book a call with us if you want help.

Do we have to change our phone number?

No. You get a new local number for testing and setup. When you are ready, you forward your existing practice number to it — nothing changes until you do.

Does it book appointments?

Yes, with your EHR connected: patients book, reschedule and cancel right on the call. Without a connected EHR it takes the request and callback number, and your team books the appointment.

What happens with a call it can’t handle?

It takes a message for your team. When a write-up is available it suggests a priority and next steps, and questions it couldn’t answer are listed so you can add the answer for next time. It is not an emergency line.

What about HIPAA and patient information?

Medman is built for HIPAA, and we sign a Business Associate Agreement before any patient data moves. Medical-practice setup and agreements are required before patient calls. Use fictional details for testing. During setup it only looks up public practice information, never patient information.

How does it work with the rest of Medman?

The AI receptionist is one of Medman’s agents. It shares the patient’s record with the others: coverage is checked by the eligibility agent, and faxes and refill requests go to inbox triage, so your staff see one queue.

What does it cost?

Free to start, no card needed: 15 AI minutes a month. Paid plans: Starter $29.99 a month for 100 minutes, Plus $99 a month for 300 minutes, Pro $199 a month for 600 minutes. Only Pro buys extra minutes, at $0.30 each; on the other plans you move up a plan. No annual contract. It currently answers in English.
